Get started with Farm Books

A simple walkthrough: create your account, set up your farm, and record your first sale — all in a few minutes from your phone or computer.

1

Create your account

Step 1

Open the sign-up page

Tap the green Sign Up button on the login page. It works on any phone, tablet or computer — no app download needed.

  • Use the link farmbooks.co.ke on any browser.
  • One account per farm keeps your records private.

Step 2

Enter your name and phone number

Type your full name and the phone number you will use to sign in. This number becomes your Farm Books identity.

  • Use a number you always have with you.
  • No email confirmation is needed — you start immediately.

Step 3

Choose a 4-digit PIN

Create a simple PIN like 7689 — that's your passcode. No complicated passwords. Keep it secret; it's the key to your farm records.

  • Pick something memorable but not obvious (avoid 1234).
  • You can reset your PIN from the login page if you forget it.

Step 4

Set up your farm

Right after signing up, the onboarding screen asks for your farm name, your first piece of land (e.g. "Shamba - Kitale") and your first season. Fill it in and your dashboard is ready.

2

Set up your crops and season

Step 5

Check your season

Open Seasons from the menu. Your first season was created during onboarding — give it start and end dates so reports and reminders line up with your planting calendar.

  • You can close a season when it ends and start a new one — all records stay saved per season.

Step 6

Add your crops

Open Crops from the menu and add what you've planted — Maize, Beans, Potatoes, anything. Each crop can be linked to a land and season so you see performance per crop.

  • Add livestock too if you keep animals — the Livestock module tracks inventory and sales.

Step 7

Optional: add your team and categories

In Settings you can add employees, casuals, equipment and extra expense categories. Expense categories like Salaries, Seeds, Fertilisers, Pesticides and Casuals are already there for you.

3

Record your first sale

Step 8

Open Sales → New Sale

Tap Sales in the menu, then the New Sale button at the top right. Choose the crop (or livestock), enter the quantity and amount, and add the customer's name or phone number.

  • Filter records by land, season, customer or date anytime.

Step 9

Save — or Save & Mark as Paid

Tap Save if the customer still owes you (the sale stays pending), or Save & Mark as Paid if you've received the money. You can mark it paid later from the sale's page with one tap.

  • Send a professional PDF receipt to the customer's WhatsApp straight from the sale.

Step 10

See your reports

Open Reports to see how the season and each crop performed — sales, expenses, profit — with AI insights in plain language telling you what to plant next and where to cut costs.

  • Export any season or crop report as a PDF to share or print.

Record expenses

Expenses are simple: category, name, amount, save. Pay salaries and casuals in two taps.

Season reminders

Get reminders for planting, labor and sales milestones for every season.

Multiple lands

Farm in different areas? Add each land and switch between them with one dropdown.
